Data Retention
GameMinder is committed to transparency about how your data is stored and when it is removed. This page explains what happens to your data in three scenarios: when the GameMinder bot is removed from a Discord server, when an account is deleted, and during routine data cleanup.
Removing the Bot from Your Server
If GameMinder is removed from your Discord server, your campaign data is not deleted. All campaigns, sessions, surveys, members, and goals remain intact and are fully accessible through the web app at app.gameminder.io.
Only the Discord integration settings tied to your server are removed: the server registration and any channel linkages set up through the bot. You can re-add the bot at any time and reconnect your campaigns.
Your data stays with you
Removing the bot is a reversible action. Nothing is deleted; you simply lose the Discord integration until the bot is re-added.
Deleting Your Account
Account deletion is permanent and immediate. When you delete your account, the following data is removed right away:
- Your profile, email address, and login credentials
- All subscriptions and plan entitlements
- All campaigns you own, including every session, survey, RSVP, reminder, goal, and invite associated with those campaigns
- Your membership in campaigns owned by others (you are removed, but the campaign itself is unaffected)
- Your Discord identity link and any other connected identities
- Your calendar integration token
Owned campaigns are deleted immediately
Any campaign where you are the Game Master is permanently deleted when you delete your account. There is no grace period and no recovery. If you want to preserve a campaign, transfer ownership or export your data before proceeding.
Campaigns where you are a player or spectator are not affected; only your membership is removed.
Routine Data Retention
GameMinder runs scheduled cleanup jobs that permanently delete data that is no longer needed:

Campaigns are soft-deleted when a GM removes them; the data is preserved for the retention period before the cleanup job removes it permanently. Active campaigns are never touched by the cleanup process.
